• Account & clinic data: Names, emails, clinic details, and staff roles when you register or are invited.
• Patient data (on behalf of clinics): Names, contact numbers, appointment schedules, dental records, and billing information entered by clinic staff or via WhatsApp booking flows.
• WhatsApp data: Messages and metadata sent and received through our WhatsApp Cloud API integration.
• Marketing inquiries: Information you submit via demo or contact forms on our website.

3. How we use information

• Provide, maintain, and improve the Dental Mate platform
• Facilitate appointment booking and reminders via WhatsApp
• Process payments and generate invoices
• Provide customer support and respond to inquiries
• Comply with legal obligations and enforce our terms

4. Data sharing

We do not sell personal data. We may share information with:

• Service providers: Meta (WhatsApp Cloud API), Google Cloud / Firebase (hosting and database), Razorpay (payments), and email delivery providers
• Legal authorities: When required by law or valid legal process

Depending on your location, you may have rights to access, correct, delete, or restrict processing of your personal data. Clinic administrators can manage patient data within the dashboard. Contact us to exercise your rights.

7. Data retention

We retain data for as long as your clinic subscription is active and as required for legal or operational purposes. You may request deletion subject to applicable law.

8. Cookies & analytics

Our marketing website uses:

• Essential storage: Cookie consent preference (localStorage), form security (honeypot). No account cookies on public pages until you log in.
• Analytics cookies (optional):Google Analytics 4 — only loaded if you click “Accept all” on our cookie banner. Used to understand site traffic and improve Dental Mate. You can reject analytics and still use the site fully.
• Clinic app cookies: After login, Firebase authentication cookies are strictly necessary to operate your dashboard session.
